Become Your Rental Company’s BFF

Events are such unpredictable beasts. When things go wrong, the strength of a team becomes immediately apparent. Collaboration can save the day, and it is hard to find a better ally than a great rental company to make sure your events are wild successes. So how can you become your rental company’s BFF?

Create a collaborative work environment

Communication is the single most important factor when creating a mutually beneficial relationship with your rental company. Regardless of your specialty, sharing your timeline helps prepare for seamless set up and execution. Fostering open lines of communication is a first step to building a strong team.

Never assume

The biggest confusion surrounding events generally happens when someone makes assumptions. Common misconceptions include assuming that your rental company is bringing tables or setting up tables, chairs, and linens. With lots of moving parts in one single event, it is also key to avoid confusion by communicating every possible detail. For instance, when can they pick up or drop off the rentals? Can they be dropped off early? Where is the best place for them to go? Who will be the onsite contact? Who should we contact in case of an emergency? These are all questions to ask in advance, prior to the day of the event.

Understand the limits of inventory

Accurate estimation is essential. While we wish we could fulfill every last-minute request, it is not safe to assume that we’ll have what you need at the last minute. As soon as you know you might require something, add it to your order immediately so we can put the inventory on hold for you. It is never too soon to place your order!

Understand your rental contract

Especially pertaining to loss and damage, it is important to read your agreement carefully. If you contract with your rental company and rent something of ours to your client, consider the damage waiver, which would cover the cost of things broken by accident. Protect yourself as well as the rental inventory. At the end of the day, whoever signed the contract is the financially responsible party.

Be loyal

If you really want to be your rental company’s BFF, be loyal. Send referrals and share feedback when you hear that we could improve our service or product to better meet their needs. Collaborate with your rental company to host lunches and networking events together, and share photos of our work on social media giving credit where it is due.
