16 Highlights, 17 Days and 9,293 Meals Later
€œEveryone got fed and everyone was happy,€ says Alan Scott, general manager of Erhart€™s Catering in Los Angeles. Erharts, a relatively small catering company (about 20 regular employees), won the contract for this year€™s X-Games, July 29€“August 1 at the Los Angeles Coliseum. The multi-day extreme sports events were the biggest catering operation Scott had experienced with Erhart€™s, and a lot was riding on its success€”hopes for 15 to 20 percent of the company€™s annual income, for one thing. More important, though, the opportunity to show potential clients€”and the company€™s own staff€”that Erhart€™s can do the big stuff and do it well.

Was it a success? Of course. Were there challenges? Of course.

One early challenge was the inability to get a full liquor license for the Coliseum, because of a death at the venue earlier during a huge event. €œThey didn€™t want to give us a license at all, but they finally did give us one for beer and wine,€ says Scott. €œFor the VIP suites, it definitely would have been nice to have high-end liquor.€

Scott says the success of the event for Erhardt€™s will help the company move ahead with its plans to launch a tailgating catering division, and to try to win other sports events. €œSports is sort of a recession-proof business,€ he says.

Overall, Scott says, €œIt€™s all stuff we€™ve learned throughout the years, but it was so much validation that this is what we do and we€™re doing it right. The payoff was great.€
He still has to do the numbers, but it looks like the X-Games gave Erhardt€™s 15-20 percent of its catering revenue for the year€”€œthe shot in the arm that we needed.€

Relationships

From the point of sale to the execution of 9,293 meals, past and present relationships were the key to the success of many elements of X-Games 16. My connection with Hugh Gallagher, director of food and beverage at the LA Coliseum, was integral to €œgetting our foot in the door€ and facilitating the introduction of Erhart€™s Catering to ESPN. From a management standpoint, we were able to partner with local industry professionals whom we had worked with in the past to create a management team that understood and was able to execute events with the high standards that our clientele have come to expect. Special thanks to WOW! Special Events of Orange County, Tiffany Rathbun of Imagination Entertainment, Corey Burrell of Epic Touches Events and Victor Sandoval, executive chef of PF Chang€™s Newport.

Think Retail
As caterers and event planners, we are all well versed in securing the guest guarantee. Very early on in the X-Games, we were faced with what I call a good headache in that ESPN was not only meeting its guest guarantee, but exceeding it by up to 200 guests per meal in the ESPN staff lounge. €œWord on the street€ was that the food was to die for at the Coliseum. Competitions were taking place in multiple locations, such as LA Live and Nokia Theater, and the ESPN staff had a choice of eating at any of them. Executing more than 200 in excess of the guest guarantee was more than challenging! Palu Tanna, owner of Erhart€™s Catering, takes care of all food orders, with Sysco being our exclusive source of product. With careful expertise, Tanna was able to increase pars within hours of meal service to accommodate the surge in meal service. Switching gears to a retail/restaurant style of ordering and execution enabled us to deliver and to feed each and every guest who came to dine.

Sweet validation
Incorporating tried and true elements of catering services along with new and innovative ideas learned at the Catersource Conference 2010 in Las Vegas was the driving force of the sales and operational success of X-Games 16. As you can well imagine, each element was discussed, developed, planned, painstakingly discussed again and set in place for execution at every level of service. There comes a point when I, as a planner, had to step back, pray and €œlet the games begin.€ It was profoundly satisfying to see years of combined expertise in action with very fundamental elements of great food and great service at such a great scale. In hindsight, these key, fundamental elements are still the ones that serve us in the industry so well. Special thanks to the catering gurus from the Catersource team (you know who you are: Mike Roman, Meryl Snow, Carl Sacks) for offering new and exciting twists on classic elements of success. It is gratifying to use what you already know in conjunction with what you are willing to learn to produce a winning formula for event success.

The show must go on
Yes, in addition to X-Games, Erhart€™s daily business of corporate and social events marched on. It was very important to me to make sure that my existing clients had not one inkling that they had now become a much smaller percentage of the total scheme of things. After all, I deal with my corporate clients on a day in, day out basis; the three weddings that we produced during this time deserved all of the attention I would give at any other time of the year to make their special days an unequivocal success, and the daily clients at the LA Air Force Base expect the same level of service and great food that they have come to expect on a daily basis. With new clients such as the Port of Long Beach with an event aboard a ship and old clients like JPIA and their annual board of directors€™ dinner, I could not afford to compromise any element of cuisine or service that has established our position in the industry.

To accomplish this simultaneous success, it was necessary to use some of my best talent to hold the fort down while juggling our efforts. Though each of these talented professionals would have liked to be involved in the X-Games action, they all stepped up to fulfill our obligations. The success of each of these events made the success of X-Games that much more sweet.

Would we do it again?
Should Erhart€™s Catering be afforded the opportunity to bid on X-Games 17, we would, without hesitation, be thrilled to throw our hat in the ring once again. Going in blind to this year€™s games was daunting. Having experienced so much, in such a small window, will enable us to make calculated future decisions about everything from menu planning to operations to public relations. A thorough post-event meeting was conducted internally with our core staff as well as with the key personnel at ESPN under the direction of Jeff Geremia, who spearheaded the planning and operational aspects of the entire effort. He was such a pleasure to work with. Comment cards and event surveys have gone out to hundreds of attendees and feedback will dictate the future direction of X-Games. We eagerly await the results of these surveys to further empower us for future success.
